A waiting list for cancelled slots

When every slot is taken, new enquiries can join your waiting list instead of moving on to another instructor. When a pupil cancels a lesson through their portal, the first person on the list gets an email saying a slot has opened, with a prompt to book it. You can also post a gap slot and choose to email everyone on the list.

When a lesson is cancelled, post the freed time as a gap slot. It shows on your booking page and in your pupils' portals, and you can choose to email everyone on your waiting list about it. The first learner to claim it gets the lesson, and it lands in your diary on its own. You can also post a gap slot for any free time straight from the diary.

Questions & answers

Can I control my availability?
Absolutely. You set your working hours, break times, and blocked-out days from your calendar. Pupils can only book slots you've made available. Change your hours at any time and the booking page updates instantly.
Do pupils need to create an account?
No. Pupils book using just their name, email, and phone number. They receive a unique access link to manage their bookings - no passwords, no app downloads, no friction.
Can I embed the booking widget on my own website?
Yes. We provide a simple embed code you can paste into any website - WordPress, Wix, Squarespace, or plain HTML. The widget matches your branding and lets visitors book without leaving your site.
What about cancellations?
You set your own cancellation policy - for example, 48 hours notice required. If a pupil cancels inside the policy window, a cancellation fee is charged automatically. No awkward conversations.

Yes. When your diary is full, pupils can join your waiting list from your booking page. When a pupil cancels a lesson through their portal, the first person on the list is emailed to say a slot has opened, so they can book it. When you post a gap slot, you can also choose to email everyone on the list.
How much does the online booking system cost?
The booking system is free for driving instructors, along with every other Orbit feature - the booking page, calendar, pupil management and card payments (via Stripe Connect). No subscription, no contract, no card needed. A booking fee is added to lessons booked or paid online through the app, paid by the learner: the greater of £2.99 or 4% of the lesson subtotal. It's added on top of your price, never deducted from your payout. Lessons taken from an already-paid block aren't charged a second fee.
Does Orbit send lesson reminders to pupils?
Yes. Pupils receive automatic email reminders 24 hours and 2 hours before their lesson, and you choose which of those to send. Pupils who have switched on notifications get a push notification too. No more sending 'see you tomorrow' texts manually.
Can I charge cancellation fees automatically?
Yes. You set your cancellation policy (e.g. 48 hours notice required). If a pupil cancels inside the notice period, Orbit automatically charges the fee to their card on file. No awkward conversations needed.
