Key benefits

01

Automatic income recording

Every lesson payment collected through Stripe is recorded automatically. No manual entry, no chasing bank statements. Your income is always up to date.

Expense tracking with categories

Log fuel, insurance, maintenance, phone bills, and more. Expenses are organised into HMRC-compliant categories so your records are always filing-ready.

Mileage logging

Log business miles against the lessons in your diary for a complete audit trail. HMRC's flat mileage rate doesn't cover dual-control cars, so vehicle running costs go in as actual expenses.

Revenue trends and reports

See your earnings by week, month, or year. Spot trends, compare periods, and understand exactly how your business is performing over time.

Profit & loss at a glance

A clear view of income minus expenses. Know your actual profit - not just your turnover - without waiting for an accountant to tell you.

Tax-ready summaries

Monthly, quarterly, and tax year summaries compiled automatically. Your income and expenses total into your Making Tax Digital quarterly figures, with no re-keying required.

Income that tracks itself

Every time a pupil pays for a lesson through Stripe, the income is recorded automatically in your accounts. No manual entry, no reconciling bank statements at the end of the month. Cash and bank transfer payments can be logged manually in seconds. Your revenue reports update in real time, so you always know where you stand.

  • Stripe payments recorded automatically as they happen

FAQ

Questions & answers

Is Orbit a replacement for an accountant?
For day-to-day bookkeeping, yes. Orbit automatically records your lesson income, lets you log expenses and mileage, and totals your income and expenses into the figures you need for your quarterly Making Tax Digital updates. Most driving instructors find they no longer need an accountant for routine record-keeping. For complex tax situations (capital allowances, partnership structures, or year-end tax planning) an accountant can still add value, but Orbit handles the 90% of bookkeeping that used to eat your evenings.
How does mileage tracking work?
Orbit lets you log your business mileage against each lesson in your diary, so your records are always linked to real journeys, and track actual vehicle costs (fuel, insurance, maintenance) as expenses. HMRC's flat mileage rate can't be used for dual-control driving instructor cars, so actual costs are the method that applies to most instructors.
What expense categories are available?
Orbit includes all the categories relevant to driving instructors: fuel, vehicle insurance, car maintenance and repairs, MOT and road tax, phone and data, dual controls and vehicle adaptations, training and CPD courses, advertising, professional subscriptions, and a general category for other allowable business expenses. Categories are aligned with HMRC's self-employment expense classifications so your records are always filing-ready.
Does the financial tracking work with Making Tax Digital?
Yes, it's designed to. Your income and expenses total into your Making Tax Digital quarterly figures, so there's no re-entering numbers into a separate tool. Your mileage log is kept as a separate record and isn't added to those figures; vehicle running costs go in as expenses. Orbit is built on HMRC's Making Tax Digital for Income Tax API and is completing HMRC's software recognition process, so live submissions open once HMRC approves it.
Can I export my financial data?
Yes. You can export your income, expenses, and summaries for any date range. Exports are available in formats suitable for sharing with an accountant or importing into other tools. Your data is always yours - Orbit makes it easy to get it out whenever you need it.
